Sending Luggage Between Hotels in China: Passports, Addresses and Delivery Buffers
Sending spare clothes to a later hotel can make a multi-stop China trip easier, but it is not the same as checking a bag through to your next flight. You need a carrier that accepts the contents, a receiving hotel that agrees to hold the parcel, and enough time to recover from a delay. This guide covers a shipment between two addresses in mainland China, not an international shipment or a shipment to Hong Kong, Macao or Taiwan.
Last checked: 11 October 2026. Carrier acceptance, quotations and estimated delivery dates depend on the actual route and contents. The preparation checklist below is editorial advice, not a delivery guarantee or a promise that every hotel offers parcel storage.
First decide whether sending it ahead actually helps
| Your situation | Better starting decision |
|---|---|
| Spare clothing for a later part of the trip | Consider shipping only after the receiving hotel confirms storage and the carrier quotes arrival before you need it. |
| You change hotels every night | Keep the bag with you: a missed delivery can chase your itinerary. |
| The parcel contains your passport, essential medicine or something needed tomorrow | Keep those essentials in your possession; do not make the trip depend on parcel delivery. |
| You only want to avoid carrying luggage for a few hours | Ask about luggage storage instead of creating a shipment. |
Before paying for shipping, compare it with simply reducing your load. Our China train luggage planning guide helps you decide what to carry yourself. A small bag of non-essential clothes is a less consequential first shipment than your entire suitcase.
A foreign passport is a valid sender ID
The State Post Bureau's real-name acceptance rules explicitly include foreign citizens' passports among valid identity documents. Send under your own accurate name and present your passport for the carrier's identity check. If someone sends on your behalf, the rules require verification of both the principal's and the representative's identity information.
This is a legal identification rule, not proof that every self-service app screen will accept every passport. If an ordering screen only offers a mainland identity-card field, do not insert a made-up number or borrow a hotel employee's identity. Ask the carrier how to complete its passport workflow, or have hotel staff help you speak to a staffed service point. Keep your passport with you after verification; it is not part of the parcel.
Get the receiving hotel's agreement before ordering
Send your destination hotel a message through the booking channel you already use. Ask: “May I send a parcel before check-in, how early may it arrive, is storage charged, and what exact Chinese address and receiving phone number should I use?” A hotel accepting registered guests is not automatically agreeing to accept unattended luggage. See our foreign-passport hotel check-in guide for the separate accommodation arrangements.
- Copy the full Chinese hotel name, including the branch, and its province, city, district and street address from the hotel's reply.
- Add your booking name, check-in date and reservation reference in the agreed recipient notes. Do not invent a room number before check-in.
- Use a receiving phone number only with that person's permission. Ask who will answer if the courier calls while you are on a train.
- Confirm whether reception can sign, where it will store the parcel, and what happens if your stay changes.
- Save the reply and send the tracking number once the parcel is accepted.
A useful Chinese request is: “我会在[日期]入住。可以提前寄一个包裹到酒店吗?请提供收件地址和联系电话。” This asks whether you may send a parcel before your stay and requests the receiving details. Replace the bracketed date; it is a message template, not an address label.
Check the contents before sealing anything
SF's Chinese acceptance checker asks for the route and item type; its result remains subject to acceptance inspection. Do not assume that an item allowed on a train is accepted by a courier, or that all services use the same transport method. Describe batteries, liquids, aerosols and other potentially restricted contents specifically rather than calling everything “personal belongings.”
Ask the collecting courier what packaging is needed and leave the contents accessible for inspection. Remove old address labels from reused packaging. Photograph the items and their condition for your own records before closing the parcel, and keep a simple contents list. These records help explain a problem; they do not create insurance coverage.
Compare the final packed size, not just the suitcase weight
SF's official rates and transit-time tool takes the origin, destination, weight and dimensions. Chargeable weight can be based on volumetric weight rather than scale weight, and the calculation varies by product and route. A light but bulky suitcase can therefore cost more than its weight suggests. Obtain a quote for the packed article and ask whether packaging, collection and any value-protection service are included.
Do not choose a delivery product using an old “price per kilogram” screenshot. Compare the quoted delivery estimate with the date you actually need the contents, not merely your hotel arrival date. If the margin is too small, carry the bag instead. Ask for the applicable compensation and declared-value terms before handing over anything valuable; payment of a shipping fee should not be treated as full replacement-value protection.
At collection, save evidence that the parcel was accepted
SF lists its app and WeChat channels on its official support page. Whichever supported channel you use, distinguish “pickup requested” from “collected.” Stay available until the courier has checked the contents, confirmed the service and supplied a waybill or tracking reference. Keep a screenshot of the final recipient details and charge, without sharing identity documents in public chats.
Check that your phone can receive relevant messages and that the receiving hotel knows which number will contact it. Our China phone setup guide explains why connectivity and a usable contact method should be arranged before you need them.
Follow the parcel until reception confirms it is held for you
A tracking scan marked delivered is not the same as a personal confirmation that your hotel has matched it to your reservation. Send reception the tracking reference and ask it to confirm the guest name attached to storage. If tracking stalls, contact the carrier with the waybill; if your hotel changes, ask the carrier about a supported redirection rather than sending contradictory instructions to multiple people.
On arrival, inspect the parcel before discarding packaging and raise a damage or missing-item issue promptly through the carrier's official process. Keep a change of clothes and daily essentials in your carry bag until the shipment is physically back with you. The goal is a lighter journey, not a journey that stops working when a delivery runs late.
