Choosing a hotel in China is not just about price, neighbourhood and reviews. If you are travelling with a foreign passport, confirm how the specific property will handle your check-in before you commit to a non-refundable stay.

The practical rule is simple: bring the original passport you used for the booking, and make sure the property can complete its required accommodation registration. Established hotels often do this routinely, but it is still worth confirming when you are booking a small property, a rural stay, a late-night arrival or a room booked through a third party.

First, choose the right type of stay

Stay type What to confirm before booking Why it matters
Hotel or serviced accommodation with a staffed reception That it can check in a guest holding your foreign passport on your arrival date and time. Hotels handle foreign-guest accommodation registration as part of check-in.
Small inn, guesthouse or homestay Ask the property directly who will handle accommodation registration and whether the reception is staffed when you arrive. Do not assume that a listing’s “hotel” label tells you how the registration process will work.
Apartment, private rental, friend’s home or other non-hotel address Agree with the host in advance on how the required accommodation registration will be completed. For non-hotel accommodation, the guest or host has a separate registration responsibility after check-in.

Do not judge a property only by its star rating. A modest hotel close to the station with a responsive front desk can be a much better first-night choice than a beautiful but unresponsive listing far from the airport or railway station.

Ask one clear question before you pay

Send this through the hotel’s official contact method or the booking platform’s message system:

Hello. I am travelling with a foreign passport. Can you confirm that you can complete foreign-guest accommodation registration at check-in on [date], arriving at approximately [time]? I will bring my original passport.

Keep the reply with your booking confirmation. It is more useful than a vague listing label such as “international guests welcome.” If the property cannot answer, gives conflicting information, or does not confirm a late arrival, choose another option before the cancellation deadline.

Chinese booking-platform questions show that passport check-in and foreign-guest registration remain recurring traveller concerns. That is a useful signal to confirm the individual property—but it is not a reason to accept a refusal based on outdated “foreign guest qualification” claims. A 2024 notice issued by seven national departments says accommodation providers and online platforms should not use qualification requirements as a threshold to restrict accommodation for overseas visitors or publish information saying they do not accept them.

What happens at hotel check-in

China’s National Immigration Administration states that when foreign visitors stay in hotels, the hotel is responsible for accommodation registration and for submitting the information to the local public-security authority. Bring the original valid passport to the reception desk. A passport photo, booking screenshot or someone else’s identity record is not a reliable substitute for the document the hotel needs to inspect.

At check-in, slow down long enough to verify four things:

  • Your passport name is attached to the correct reservation and room.
  • Every foreign guest staying in the room is present with their own valid document.
  • The hotel has your current contact method if it needs to reach you.
  • Your departure date, breakfast inclusion, payment status and deposit terms match the confirmation.

If the hotel asks to scan or record passport details for registration, that is consistent with the accommodation-registration process. If something does not match the booking, resolve it at reception before going to the room; it is much easier to correct a spelling error or guest count before the registration is completed.

Hotel registration and non-hotel registration are different

When you stay in a hotel, the hotel handles the accommodation registration. When you stay somewhere other than a hotel—for example a private apartment, a friend’s home or another residential address—the National Immigration Administration says the foreign visitor or host must complete registration within 24 hours after check-in.

Do not assume an online tool is available everywhere. Since March 2026, the National Immigration Administration has been piloting online registration for non-hotel stays in Hebei, Liaoning, Zhejiang, Hubei, Guangxi, Chongqing and Sichuan. The pilot does not turn every short-term rental in China into a hotel, and it is not a nationwide substitute for checking the local process. If you are unsure, contact the host and use the NIA’s 12367 service or local public-security/exit-entry service for current guidance.

Choose the location around your real arrival plan

For a first night after a long international flight, optimize for a confirmed late check-in and a simple transfer rather than an ambitious sightseeing location. For a rail journey, use the station printed on your ticket—not just the city name—to choose the hotel area. PandaVoyage’s China high-speed rail guide for foreign passport holders can help you plan the station side of that decision.

For a destination with an early scenic-area entry or a multi-day hiking plan, confirm the hotel’s exact address and last-mile transport before booking. This matters particularly for a stay connected to our Zhangjiajie National Forest Park itinerary, where a property name alone is not enough to tell you how far it is from the intended entrance.

Confirm payment and deposits before arrival

Do not assume every hotel accepts every international card, mobile wallet or deposit method. National policy encourages accommodation providers to improve foreign-card, mobile-payment and cash service, but the practical question is still property-specific.

Before booking, ask:

  • Which payment methods are accepted at the property?
  • Can the hotel take your particular international card if you intend to use it?
  • Is a deposit required, and which payment methods can be used for it?
  • Will payment be taken online, at check-in or at check-out?

Prepare a working payment backup before your trip. See PandaVoyage’s China phone, eSIM, maps and payment setup guide and the practical update on using PayPal with WeChat Pay in China.

If a property says it cannot accept you

Stay calm and do not try to bypass the registration process. Ask the receptionist to check with a supervisor or the property’s booking-support team, show the written confirmation you received, and request a clear explanation in the platform message thread. If the stay cannot be honoured, use the booking platform’s documented support route to secure a refund or a different property.

For a policy question about accommodation registration, 12367 is the National Immigration Administration’s official service channel. If you are arriving late or in a remote destination, the best prevention is still a confirmed, staffed first-night hotel and a saved backup option.

Five-minute hotel check before travel day

  • Original passport packed?
  • Property has confirmed foreign-passport check-in?
  • Late-arrival time confirmed if relevant?
  • Exact address and arrival route saved offline?
  • Payment method and any deposit requirement confirmed?
  • For non-hotel accommodation, registration responsibility agreed with the host?

Those checks turn an uncertain arrival into a normal hotel check-in—and leave you free to focus on the trip rather than solving an accommodation problem at the front desk.
