Travel Service Terms, Waiver & Important Disclaimers

These terms apply to travel services booked through PandaVoyage, including but not limited to tours, custom itineraries, local experiences, private guides, transportation arrangements, attraction tickets, hotel coordination, dining experiences, wellness activities, and other travel-related services.

1. Booking Terms & Conditions

Booking Requests

Customers may book available travel services directly through our website or submit a custom travel request for a personalized itinerary. A booking request does not guarantee availability until it has been reviewed and confirmed by PandaVoyage or the applicable service provider.

Booking Confirmation

A travel service booking is considered confirmed only after the required payment has been received and PandaVoyage has issued a written confirmation by email or through another official communication channel.

For custom travel services, confirmation may depend on supplier availability, guide schedules, transportation arrangements, hotel availability, attraction ticket availability, seasonal conditions, and other service requirements.

Customer Information

Customers are responsible for providing complete and accurate information when making a booking. This may include full legal names, contact information, travel dates, number of travelers, passport or identification details if required, hotel information, dietary restrictions, accessibility needs, emergency contact information, and other details necessary to arrange the service.

PandaVoyage is not responsible for issues, delays, denied service, additional costs, or failed arrangements caused by incomplete, inaccurate, or late information provided by the customer.

Pricing & Availability

Prices and availability may change until a booking is confirmed. Travel service prices may vary depending on season, group size, travel date, supplier rates, transportation costs, attraction ticket prices, hotel rates, exchange rates, and customized service requirements.

If a listed price, availability, or service description contains an error, PandaVoyage reserves the right to correct the error before confirming the booking.

Payment

Full payment or a deposit may be required to confirm a booking. The required payment amount and due date will be displayed during checkout or communicated in writing for custom travel services.

If the required payment is not received by the stated deadline, PandaVoyage may cancel the booking request or release reserved service availability.

Deposits and Planning Fees

Some custom travel services may require a deposit, consultation fee, planning fee, or prepayment to begin itinerary design or secure third-party services. Unless otherwise stated in writing, planning fees and costs already paid to suppliers may be non-refundable once work has begun or arrangements have been confirmed.

Changes Requested by the Customer

Customers may request changes to a confirmed booking by contacting PandaVoyage as early as possible. Change requests may include travel date changes, itinerary adjustments, hotel changes, group size changes, transportation changes, or activity changes.

We will do our best to accommodate change requests; however, changes are subject to availability, supplier approval, price differences, additional service fees, and any applicable third-party charges.

Cancellation and Refunds

Cancellation and refund terms are governed by our Cancellation & Refund Policy and any specific terms listed on the service page or booking confirmation. Some services may have stricter or different cancellation terms due to supplier requirements, special events, limited availability, or customized arrangements.

Customer Responsibilities During Travel

Customers are responsible for arriving on time, following guide instructions, respecting local laws and customs, safeguarding personal belongings, behaving respectfully toward guides, drivers, suppliers, local communities, and other travelers, and ensuring that they are physically able to participate in the selected activities.

PandaVoyage reserves the right to refuse, suspend, or terminate service if a customer’s behavior creates safety concerns, violates local laws, disrupts the experience, damages property, abuses staff or suppliers, or negatively affects other travelers.

2. Travel Waiver / Assumption of Risk

General Travel Risks

By booking and participating in a travel service through PandaVoyage, customers acknowledge that travel involves inherent risks. These risks may include, but are not limited to, weather conditions, traffic delays, transportation disruptions, personal injury, illness, theft, loss of personal property, attraction closures, crowding, physical exertion, uneven walking surfaces, stairs, altitude, rural conditions, language barriers, cultural differences, food allergies, and unexpected changes in local conditions.

Activity-Specific Risks

Certain travel services may involve additional risks, especially activities such as hiking, mountain visits, nature tours, animal experiences, cycling, boat rides, wellness treatments, food tours, night tours, festival visits, photography sessions, and other outdoor or cultural experiences.

Customers are responsible for reviewing the activity description and determining whether the activity is suitable for their health, fitness level, mobility, age, comfort level, and travel preferences before booking.

Voluntary Participation

Participation in any travel service, tour, activity, or experience is voluntary. By participating, customers accept the ordinary and inherent risks associated with travel and the selected activities.

Personal Belongings

Customers are responsible for safeguarding their own belongings, including passports, visas, wallets, phones, cameras, luggage, jewelry, medication, and other personal items. PandaVoyage is not responsible for lost, stolen, damaged, or misplaced personal belongings, except where required by applicable law.

Medical Conditions and Fitness to Travel

Customers are responsible for ensuring that they are medically and physically fit to participate in their selected travel services. Customers should consult a medical professional before travel if they have any health concerns, medical conditions, mobility limitations, pregnancy-related concerns, allergies, dietary restrictions, or other special needs that may affect participation.

Emergency Situations

In the event of an emergency, PandaVoyage, its guides, suppliers, or representatives may assist with contacting local emergency services, medical providers, transportation providers, hotels, family members, or other relevant parties. Any medical, evacuation, transportation, communication, or emergency-related costs are the responsibility of the customer, unless otherwise required by applicable law or covered by the customer’s travel insurance.

Important: By booking a travel service, customers acknowledge that they understand travel involves risks and agree to participate responsibly, follow safety instructions, and disclose any relevant needs or concerns before the service begins.

3. Supplier & Third-Party Service Terms

Use of Third-Party Suppliers

PandaVoyage may arrange, coordinate, or facilitate services provided by independent third-party suppliers. These suppliers may include, but are not limited to, local guides, drivers, transportation companies, hotels, restaurants, attractions, ticketing providers, wellness providers, event organizers, photographers, interpreters, activity operators, and other travel-related service providers.

Supplier Rules and Conditions

Third-party suppliers may have their own terms, conditions, rules, schedules, restrictions, cancellation policies, refund policies, safety requirements, age limits, health requirements, luggage limits, check-in deadlines, and service standards. By booking a service that involves third-party suppliers, customers agree to follow the applicable supplier rules and conditions.

Supplier Availability

Some services are subject to limited availability and may not be guaranteed until confirmed by the supplier. This may apply to hotels, attraction tickets, special events, private guides, transportation services, restaurants, seasonal experiences, and custom arrangements.

Supplier Changes or Cancellations

Non-Refundable Supplier Costs

Certain supplier costs may become non-refundable once booked, confirmed, issued, or paid. These may include attraction tickets, hotel reservations, transportation bookings, train or flight tickets, guide fees, special event tickets, permit fees, restaurant deposits, activity fees, and other third-party service charges.

Limitation Regarding Third-Party Services

PandaVoyage carefully selects and coordinates with suppliers; however, third-party suppliers operate independently. PandaVoyage is not responsible for supplier acts, omissions, delays, service quality issues, accidents, property loss, schedule changes, closures, or failures beyond our reasonable control, except where required by applicable law.

4. Travel Documents & Entry Requirements Disclaimer

Customer Responsibility

Customers are responsible for ensuring that they have all required travel documents before departure and throughout the trip. This may include a valid passport, visa, transit visa, entry permit, residence permit, health certificate, vaccination record, travel authorization, identification document, hotel registration information, or any other document required by the destination, transit country, airline, railway, cruise line, hotel, attraction, or government authority.

Passport Validity

Customers should ensure that their passport is valid for the full travel period and meets the destination’s validity requirements. Some destinations may require a passport to remain valid for several months beyond the intended stay.

Visa and Entry Rules

Visa and entry requirements vary depending on nationality, passport type, destination, transit route, length of stay, purpose of travel, and government rules. Customers are responsible for checking and obtaining the correct visa, permit, or entry authorization before travel.

Changing Requirements

Entry requirements, health requirements, customs rules, security rules, local laws, and travel advisories may change at any time. Customers should review official government and embassy sources before booking, before departure, and during travel if conditions change. Denied Boarding or Entry

PandaVoyage is not responsible for denied boarding, denied entry, deportation, missed services, additional costs, cancellation fees, or trip interruption caused by missing, invalid, incomplete, expired, or incorrect travel documents, or by the customer’s failure to meet entry, transit, health, or identification requirements.

Assistance with General Information

PandaVoyage may provide general travel document reminders or guidance as a courtesy, but such information should not be considered legal, immigration, or government advice. Customers should verify all requirements with official government sources, embassies, consulates, airlines, and other relevant authorities.

Note: Customers should prepare travel documents well in advance. Passport, visa, and permit processing times can vary and may be delayed during busy travel seasons or due to government processing conditions.

5. Travel Insurance Disclaimer

Travel Insurance Is Strongly Recommended

PandaVoyage strongly recommends that all customers purchase suitable travel insurance before travel. Travel insurance may help protect against unexpected losses related to trip cancellation, trip interruption, medical emergencies, emergency evacuation, accidents, illness, baggage loss, baggage delay, travel delay, supplier default, and other covered events.

Coverage Needs

Customers should carefully review insurance options and choose coverage that fits their trip, destination, activities, health condition, age, travel dates, and personal risk tolerance. No Guarantee of Coverage

PandaVoyage does not guarantee that any insurance policy will cover a particular loss, cancellation, delay, injury, illness, supplier issue, or travel disruption. Customers are responsible for reviewing policy wording, understanding exclusions, and contacting the insurance provider directly with questions.

If You Decline Insurance

If a customer chooses not to purchase travel insurance, the customer accepts responsibility for any costs, losses, cancellation charges, medical expenses, or other financial consequences that may arise before, during, or after travel.

6. Health, Safety & Accessibility Policy

Accessibility

PandaVoyage aims to support travelers with different needs whenever reasonably possible. However, accessibility standards, public facilities, transportation options, hotel access, attraction design, road conditions, elevator availability, restroom access, and barrier-free infrastructure may vary by destination and supplier.

Some destinations, heritage sites, old towns, mountain areas, rural locations, temples, historic buildings, markets, and cultural attractions may have limited accessibility due to stairs, narrow pathways, uneven surfaces, crowds, or preservation rules.

Service Suitability

PandaVoyage may recommend adjustments, alternative activities, private transportation, slower-paced itineraries, accessible hotel options, or other modifications where available. However, not all services can be adapted for every traveler or every need.

Food Allergies and Dietary Restrictions

Customers with food allergies, dietary restrictions, or medical dietary requirements must inform PandaVoyage before booking any food-related experience, restaurant arrangement, cooking class, market visit, or dining service.

While we can communicate dietary requests to suppliers where possible, PandaVoyage cannot guarantee that food environments will be free from allergens, cross-contact, or ingredients that may not be visible or disclosed by third-party providers.

Safety Instructions

Customers must follow safety instructions provided by guides, drivers, suppliers, attraction staff, hotel staff, local authorities, or PandaVoyage representatives. Failure to follow safety instructions may result in refusal or termination of service without refund.

Children, Elderly Travelers, and Guests Requiring Assistance

Children, elderly travelers, and guests requiring physical assistance must be accompanied by a responsible adult or caregiver where appropriate. PandaVoyage guides and suppliers may provide general travel support, but they are not responsible for providing medical care, personal care, lifting assistance, childcare, or one-on-one supervision unless specifically agreed in writing.

Right to Decline Participation

PandaVoyage or its suppliers may decline or restrict participation in an activity if there are reasonable safety, health, accessibility, legal, or operational concerns. This may include situations where a customer appears unable to safely participate, fails to disclose relevant information, is under the influence of alcohol or drugs, or behaves in a way that creates risk to themselves or others.

Destination Conditions

Living standards, safety standards, accessibility standards, hygiene practices, transportation conditions, weather conditions, and public facilities may differ from what customers are used to in their home country. Customers should consider these differences when selecting a destination or activity.
